Make Meetings More Efficient

Meetings are essential for collaboration and decision-making but are not always conducted effectively. Learning to run meetings skillfully can save time and boost productivity as a leader. Here are some tips to make your meetings more focused, efficient, and impactful:

Define the Purpose- Ask yourself, “What is the main reason for this meeting?” Clarifying your goals ensures that the session is focused and productive.

Set Clear Objectives - Identify the specific outcomes or decisions you want to achieve. This will keep everyone aligned and prepared to contribute meaningfully.

Cut the Time - Reduce meeting times by twenty to twenty-five percent. For example, reduce one-hour meetings to 45 or 50 minutes. That’s a minimum of 21 days a year in time savings. Get more done quickly, and use the newfound time to boost productivity elsewhere.

Prepare and Plan- Share a clear agenda and any necessary materials beforehand. Send out two questions with the agenda on each item to be discussed to get their heads wrapped around a subject. This preparation helps participants engage fully and ensures the meeting stays on track.

Explore Alternatives- Could an email, memo, or quick call address the same issue? Use these options when a meeting isn’t essential.

Limit Attendees - Invite only those who are critical to the discussion. Keep the meeting concise and relevant to respect everyone's time. If a decision is to be made, limit the number to eight.

Meeting Protocols- Establish rules and guidelines for when meetings can be called and for running a meeting.

Ask Your Team– Ask your team for ways to improve meetings.
